How do I set up hybrid work in a company?
Every year after the pandemic, the combination of offline and online workers in the same company is becoming more familiar. 65% of people who have worked from home over the past year noted that the hybrid work format has become ideal for them – it gives employees a choice of place and time to perform their duties.
The possibility of hybrid work increases employee loyalty, but most companies still do not have a clear plan for its implementation. We are figuring out how to start working in a hybrid way.

How does the hybrid format work?
Hybrid format is a stretchable concept. On a company scale, this is when one or more departments or employees work remotely; on an employee scale, it is alternating between home and office. For example, being in the office two out of five working days a week.
For example, employees of the CODDY programming school departments who work remotely communicate and regularly call each other in messengers. Working with franchisees from other cities and countries is also remote, and this does not affect the effectiveness of the company in any way.

If an entire department works remotely, it needs a good manager who can supervise it and keep in touch with the head and other departments.

This approach improves work-life balance, increases productivity and employee satisfaction... but not always. Efficiency depends on the employee and the manager, and sometimes the remote format only lets the team down.
When is hybrid work not needed?
Most of us have experienced the delights of remote work for ourselves. You can make up your own work schedule, not spend money on the way to the office and always be with your family. But they often turn into disadvantages: self-discipline is lame, it is impossible to switch from work to home and vice versa, and home only gets in the way.
Therefore, before implementing a hybrid format, it is worth considering whether your employees will cope with it.
Even if you are not confident in your subordinates, you should not limit them too much in the schedule. Coordinate and approve the appropriate amount of tasks for a working day, week or month and let the employee go free for a certain period of time. If efficiency suffers, the full–time format of work can always be returned.

How to implement hybrid remote work
it is necessary to clearly define which tasks are better performed in the office and which are performed remotely.
To successfully implement hybrid remote work, you need to go through several steps:
1. Formal
а) Make sure that all employees have all the tools they need to work from home.
At least a computer, unlimited Internet, the necessary software, access to the corporate network. If you work with serious documents, get into the habit of not storing them on your personal PC and get a cloud storage company.
b) Prepare an additional agreement to the employment contracts. This will be a plus for you and your employees, and for the labor inspectorate. We will talk about it in more detail below.
c) Transfer the documentation to electronic approval using e-mail or, preferably, electronic document management services. For example, EDO Light or Diadoc.
d) As we wrote above, make a work plan. Set deadlines for tasks and dates for meetings, if necessary. Remote work should also be monitored, and employees should stay at a working pace.
2. Communicative
a) Create communication channels to maintain communication between employees and management.
There are no problems with this now – everyone has long been used to messengers and social networks. Most often, companies use WhatsApp and Telegram for messages and the same or Google Meets for calls. These are secure networks with a simple and user-friendly interface.

Email is also an option, but much less convenient for fast daily communication.

There may be several chats (conversations), for example, a general chat of a company or department, a chat for tasks and a chat in order to just talk with colleagues – discuss interesting cases and share something. Highlight the most important things in your work messages so that no one misses anything.
b) Before changing the work format, discuss all the work nuances with the staff.
If the situation requires it, train your subordinates in new tools and services, and practice in the office. Educate managers to maintain communication and productivity in their departments remotely.
c) In times of crisis, update your employees' KPIs and set tasks creatively to maintain their productivity.
Routine and home environment can unsettle anyone from the work rut – warm up the interest of employees, praise and support them. Although you are not around, you are still working for the common cause.

A hybrid or completely remote work format should not be the only option: employees should have a choice.


Hybrid work schedule in the employment contract
To legalize the hybrid format of work, it is important to make appropriate changes to the employment contract. The hybrid work schedule in the employment contract should include the following points:
  1. Description of the hybrid graph. Specify how many days a week the employee will work in the office, and how many days remotely.
  2. Opening hours. Determine the working hours and conditions under which an employee can change his schedule.
  3. Duties and responsibilities. Clearly describe the employee's responsibilities and responsibilities in the office and at home.
  4. Conditions for the provision of a workplace. Specify what resources and equipment the company undertakes to provide for working from home. For example, the necessary software.

Conclusion
Hybrid work, although not suitable for everyone, is becoming an increasingly popular form of work organization. For its successful implementation, it is important:
  • to clearly define the rules and conditions of work;
  • provide the necessary technical and communication support;
  • make changes to employment contracts.
The hybrid work model makes the company more flexible and adaptive, attracts young employees and allows it to develop effectively in the modern labor market.
